Working hours: Monday - Friday 9.30am - 5.30pm

A new permanent vacancy has arisen for a fluent Bilingual English/German speaking (70% English and 30%), Legal Secretary to join the firm and provide high level secretarial and administrative support to Notaries within the German department and also provide Float Secretary cover for the firm. You will be working in a very busy legal environment which will involve the production of legal documentation which will require a lot of typing work, involvement with the dossiers, together with direct client liaison.

You will need to be resilient, able to cope with a stressful, heavy workload, be very organised, methodical, a multi-tasker with a keen eye for detail, who can keep calm under pressure and is used to responsibility.

The role:
This is a very involved role where you will be assisting Notaries in the German department.

Duties and responsibilities:
 Providing high level secretarial and administrative support to Notaries in the German Department (diary management, booking appointments, client liaison, responding to emails, dealing with post);
 Provide Float Secretarial cover as required;
 Ensuring that the priorities and deadlines of the department are met;
 Managing own work allocation, productivity and quality of work with minimum supervision whilst also working as part of a team;
 Producing and editing large volumes of legal documents;
 Checking all information is accurate and complete at all times;
 Managing the maintenance and tracking of all files;
 Ensuring that all clients are dealt with efficiently and politely when visiting the office and also over the telephone/email;
 Answering all telephone calls efficiently and politely and take messages, as necessary in both English & German;
 Ensuring that all internal methods, systems, policies and procedures are adhered to;
 Assisting in general office administration and in the locating of files when necessary.

We are looking for applicants:

Fully computer literate with good keyboard skills and a working knowledge of various software packages. E.g. MS Office - MS Word etc.
 Recent experience of working as a bilingual secretary ( preferably as a legal secretary)
 Fluent (to mother-tongue level) in both English and German, both speaking and written
 Practical experience of handling client enquiries both by telephone and face to face.
